What is your company in ResPax?
So you have a basic idea of what ResPax looks like...Why don't we try entering your company into ResPax so that your system sees who the Financial Entity is when bookings, tours, bus routes, pickups and everything else that your company does.
Your organisation is known as a Financial Entity. A Financial Entity is the financial owner of your business There can be more than one. This needs to be set up in your ResPax system before you can do anything.
Your First Financial Entity
When your database is created by Trinity Software Australia, they will always create your first Organisation for you. This will be your Financial Entity. You must edit this to enter all the information of your company. If you have more than one financial entity the last section of this tutorial covers creating NEW organisations/financial entities - Your Second Financial Entity.
Select Edit/Add Organisations from the Maintenance menu and ResPax will take you to the Organisations screen.
Click once on your organisation already entered in the system, in this case Test Organisation, and it will take you to the Organisations... screen. This section will hold all the information about your company.
You need to fill in all the details of your company in this area. Once this done you need to specify what type of organisation your company is under the Roles section.
Different organisations have different roles. A brief definition of each would be:
Agent - Any organisation which will make bookings. This role would activate the Credit Status section.
Operator - Any organisation which operates a tour and to which payments would be made for the provided services.
Financial Entity - The financial owner of your business. This can be more than one.
Once you have selected which apply to your company, we can proceed on. Test Organisation would be an Agent, Operator and Financial Entity as it books and operates the tours directly and it is financial owner.
The next thing we will set is the Commissions. Test Organisation does not take any commission from its own bookings so we will set the it to 0.00 which means 0% commission.
The Credit Status of your Financial entity should always be set to Deposit Only as this means we require the full amounts to be payed up front by this organisation when booking. It also means that we will not be invoicing ourselves for money we owe to us. The POP Message is generally reserved for a message that reservationists will see every time they make a new booking with your company.
Addresses tab - This tab is fairly self explanatory. Enter the information and postal information in the associated fields.
Coming to the last section of setting up your first financial entity. Currencies tab. This will let you select which currency this organisation can use when taking and associating payments. Note: If this financial entity is not the database owner then before having the correct currencies available with this organisation, you need to have them preferred in the First organisation that was created by the ResPax team when the database was created.
After you have set the currencies. Save the organisation. You have setup your First Financial Entity.
Your Second Financial Entity
Now that you have created your First Financial Entity the only new thing you have to know about your Second Financial Entity is creating a new organisation.
Go into Edit/Add Organisations in the Maintenance tab.
Click on the button Add New
This will bring you to a blank Organisations screen... At this point you can refer back to Your First Financial Entity as it is the same procedure from here on.
