How to make/edit direct bookings - no transaction fee

Overview

The extended version of Respax allows direct bookings to be made with the software as oppose to the web only voucher of the standard version. It also allows existing bookings to be edited where the standard does not. This section will demonstrate the process.


Add/edit booking

On the "Bookings" tab, click on "Add New Booking" (or double click on an existing booking to edit.)

Fill in the required information.

For the pick-up locations, press F2 to get the list to pick from.

Click on the "Payments" tab to enter payment lines. The shortcut buttons can assist.

The shortcut buttons will automatically fill in the correct payment lines according to these rules:

How to cancel a booking

Respax will not allow you to cancel a booking if the payment lines do not add up to $0. This how-to will demonstrate two scenarios:

i) - a cancellation where all money is refunded & ii) - a cancellation where a cancellation fee is charged

i) - a cancellation where all money is refunded

This is the current state of the booking:

Delete the POB payment line:

Delete the agent on account line. This was only the agent commission that they already collected and not monies that need to be invoiced for.

Refund the cash payment line by adding a new negative payment line (or you could just delete the line if you prefer - we recommend a full trail of what happened to the money):

and refund the credit card amount:

The booking can now be cancelled.

ii) - a cancellation where a cancellation fee is charged

This is the current state of the booking:

Delete the POB payment line:

Delete the agent on account line. This was only the agent commission that they already collected and not monies that need to be invoiced for.

Refund part of the credit card fee. Let us say the cancellation fee will be $50, so refund $130.

Add a cancellation fee payment line: Note the negative amount to balance the payment lines to $0.

The booking can now be cancelled.

Un-cancel or re-booking a booking

When you re-book a cancelled booking, Respax puts a default "Agent on account" payment line as payment line. You need to open the payment screen and amend the payment line to reflect the actual payment information:
