Allotment Manager

Overview

This HowTo document is designed to show how to use the multi thread feature in the Allotment Manager.

General Information

Maintenance tab
Click on the Allotment Manager Icon

Thread Allot
This is where the allotments are set on TICKETS. So an agent is holding seats on a ticket which has dependant components. The allotment will be set against the ticket and any components which have availability set against them

Multi Allot
This is where the allotments are set on COMPONENTS. So an agent can have an allotment on a component regardless of which ticket it is under.

Please Note: Allotments are set against tour departures
So, if your availability is set against tour departures, this will work easily.
If your availability is set against bus departures then another availability will need to be set against a tour to attach the allotments to, this will need to match your bus availability to work properly.

Using the Allotment Manager

Click on the Allotment Manager Icon under Maintenance

These Agents have allotments of:

SHARED between these tickets:

So, the agent can use their allotment on one or multiple tickets codes.
] Looking at the definitions in General Information, this means that Thread Allot does not apply to this example, and Multi Allot will work.

Multi Allot Management

Type in the date range, component code and select a time...

Hit Set Multi Range This finds all the Tickets which are using this component

Set the No Allotted, Release (Hrs), and select an agent code (use the grey button to the right to look the agent up. F2 also works here.

Please Note: When I made the 1ALOT tour code, I set the schedule to 00:00 which makes it easy to decide on the release hours :- In this scenario, it is 5pm the day prior, which is 7 hours before midnight (00:00).

Hit Set Range

Availability is now checked (this is 1ALOT availability).
Hit Check Availability and Commit to save the range
The screen will disappear once done, and return you to the previous screen to set further allotments
Continue to add the 2nd agent allotment.
When you close that screen and hit Refresh in the Allotment Manager, you will be able to see all your allotments:

Please Note: This view by default shows everything. To just show the multi-thread allotments, tick OFF these:
[ ] Include Components in Search
[ ] Load Thread Allotments

Check Availability

So, looking at availability first:

Bus Availability (All Bus Routes tab)
There are no bookings for the dates I will be testing...

Tour Availability And here, you can see the allotments displayed:
( 0 booked / 8 allotments / 13 available for non-allotment agents / 21 max pax):

Make a booking for a non-allotment agent

So… if I make a booking for an agent OTHER than the allotment agents:

The availability comes up as 12

(13 non-allotment spaces, minus 1 seat in this booking = 12)

This is what I would expect.

Make a booking for an allotment agent

So, now if I make a booking for an allotment agent

The availability is altered accordingly

        21 maximum seats
Minus 4 allotments for another agent (AGENT2)
= 17 seats
Minus 01 the other booking (the one I just made above)
Minus 01 this booking
        ---
= 15 seats
