Using the Cart Tool

Overview
When a user books any tour of any kind it must be added to the booking cart where it can be edited to suit the passenger's needs. Pickups, General Comments, Tour Options and Dates are all able to be edited in the Booking Cart. This tutorial will show the basics of using the Booking Cart and how the features work.
Please Note: At this point in the tutorial, there should be at least one tour added to the cart. If there is no tour added, please refer to Adding Tours to the Cart.
Passenger Details
To view your booking cart, click Current Booking Cart in the Menu...
The passenger details need to be entered regardless of what tour is being booked. Enter the First Name and Last Name...
And the passenger's Email and Phone...
These will be the details the operators who run the tour being booked will go on to contact and identify this passenger.
Customising the Tour
Even though the tour has been added to the booking cart, there are still a few details that can be changed around to suit the passenger's needs:
Basis
A Basis is the different options that can be chosen in the tour, usually imitating what is advertised in brochures. In the drop down box under the section, Basis, the user will find a list of options to choose from that may affect the price and availability...
Date
The Date of the tour may need to be changed if the passenger would like to travel on a different day. The date can be selected and changed through clicking the calendar icon
Adults and Children
To access the Adults and Children field, click on the pen next to the tour

Changing how many passengers will be travelling on the tour may affect availability...
Pickup
The Pickup location can be set to let the operator know where the passenger would like to be picked up from. To access the Pickup field, click on the pen next to the tour
. Then click on Load Pickups...
TourDesk will now go and pre-fill the drop down box with a list of pickups set for the tour. The user can now choose from the drop down box where the pickup location will be...
Comment
The Comment section allows a user to provide a brief comment regarding the passenger and the booking. To access the Comment field, click on the pen next to the tour
. Then type what is needed into the Comment field...
Payment Details
Now that the tour is ready to be booked and paid for, the attention is turned towards the Payment Details section.
Payment to be collected for each operator - These rows of operators show what needs to be collected by the user as payment for the tour. Depending on how each organisation has set the user's company details, this could be anywhere between a Deposit Only if any or the full payment of the tour...
You Collect (including booking fee) (AUD $) - This section shows how much, in total, the user will be collecting. This includes any booking fees the user's company may incur for booking the tour on behalf of the passenger...
Please Note: (AUD $) is set by what is defined in the Booking Currency drop down box below this section.
Remainder collected by Operators (including levies) (AUD $) - This section shows how much, in total, the operators will be collecting. This includes any levies that the operators may incur.
Booking Currency - This drop down box affects what currency the prices, levies and fees are shown in. The currencies available are directly controlled by the administrator.
Your travellers payment reference - This section shows how the passenger will be paying for the amount that the user will be collecting in the section You Collect (including booking fee). Passengers have the option of Cash, Cheque or Credit Card.
Please Note: TourDesk is a LIVE authentication facility. Credit cards will be charged immediately when committing a booking.
Committing a Booking
Commit a booking by pressing the Commit Booking button...
TourDesk will automatically add the booking into the operator's system and bring back a confirmation number in which you can give to the passenger for reference. TourDesk will also send emails as confirmation that the booking has been made.
Clearing the Cart
To clear the booking cart, a user can click Clear in the screen...
Or by clicking Clear Booking Cart in the main menu...
TourDesk will automatically remove all information and replace it with a blank booking cart so that the user can start from scratch.
